What is the Billfy invoice tracker?
It is a simple place to keep track of the invoices you send. You make an invoice in the generator, press Save to tracker, and it appears here with its status. You see at a glance what is paid, what is waiting and what is overdue, without a spreadsheet and without an account.
What you can do
Track paid and unpaid invoices. Totals show how much you have billed, received and still expect, with the amounts after WHT. Save clients and items. Pick a saved client or item the next time instead of typing again. Make a statement of account. Choose a client and a period and download a PDF that lists their invoices and what is outstanding. Total your tax and WHT. The monthly summary adds up the tax charged and the WHT deducted, and you can download it as a CSV for your accountant. See your cash flow. A 3D chart shows how much you can expect each week, based on due dates or on how fast each client usually pays. Know who pays late. The Clients tab shows how many days each client takes on average and how often they pay on time. Add late fees and send reminders. Set a monthly late fee and send a polite, firm or final reminder by WhatsApp or email. Back up your data. Download everything as one file and restore it when you need it.
How to use it in three steps
Landlords can track rent this way too, and employers can keep payment records next to their salary slips.
First, make your invoice in the invoice generator and press Save to tracker. Second, open this page to see it in your list, and press Mark paid when the money arrives. Third, use the Statements and Tax summary tabs whenever a client or your accountant asks for the numbers.
Private by design, with one thing to know
Everything stays in your browser, so your client details are never sent to us. The trade-off is that your data lives on one device. If you clear your browser data or switch devices, download a backup first and restore it on the other side.
Frequently asked questions
Is the invoice tracker free?
Yes. It is free, needs no signup and has no login.
Where is my data stored?
In your own browser on the device you use. Nothing is uploaded to a server, so only you can see it.
What happens if I clear my browser data?
Your saved invoices, clients and items are removed with it. Download a backup file now and then so you can restore them.
Can I use it on my phone and my computer?
Yes, but each device keeps its own data. To move your data, download a backup file on one device and restore it on the other.
How do I mark an invoice as paid?
Open the Invoices tab and press Mark paid on the invoice. It then counts as received. Unpaid invoices that are past their due date show as overdue.
What does the tax and WHT summary do?
It adds up the taxable amount, tax charged, WHT deducted and net payable for each month, so you and your accountant can see the totals. It does not file taxes or give tax advice.
How does the cash flow forecast work?
It looks at your unpaid invoices and groups the amounts you expect to receive into this week, the next weeks, later and overdue. You can base it on the due dates or on how many days each client usually takes to pay. It is an estimate, not a promise.
How is the late fee calculated?
Set a percentage per month on the Invoices tab. For every overdue unpaid invoice, the fee is the net payable amount times that percentage, for the number of days late divided by 30. It is an estimate to help you with reminders, so check what you may charge with your contract.
Can I reopen or copy an old invoice?
Yes. Use Open to edit a saved invoice in the generator, or Duplicate to start a new one with the same items, the next invoice number and today's date.
Rules differ by country, so confirm tax and WHT treatment with your accountant or tax authority. This is a record-keeping tool, not tax advice.
