Bulk Invoice Generator: Make Many Invoices at Once

Paste your client list from Excel or upload a CSV. Billfy adds GST, VAT and WHT, numbers every invoice and gives you one PDF to download.

Step 1: Your business and invoice settings

Template, logo, signature and stampOptional

Your images stay on your device and are never uploaded.

Step 2: Add your clients

One row per line item. Rows with the same client name (or the same invoice_no) become one invoice. Paste straight from Excel or Google Sheets, or upload a CSV file. Columns: client, address, description, quantity, rate, tax_rate (optional), invoice_no (optional).

Excel files (.xlsx) cannot be read directly. Copy the cells and paste them above, or save the sheet as CSV first.

How to make bulk invoices in three steps

Bulk invoicing saves hours when you bill many clients at the same time. Instead of filling in a form for every client, you prepare one list and let Billfy build all the invoices.

Step 1: enter your business details, tax settings and invoice dates once. Step 2: paste your client list from Excel or Google Sheets, or upload a CSV file. Step 3: review the invoices, preview any of them, then download everything as one PDF.

The CSV format

Use one row per line item. The first row can be a header. Billfy recognises common column names such as client, customer, qty, price and invoice number.

ColumnNeeded?Example
clientYesAli Traders
addressNo12 Main Road, Karachi
descriptionNoMonthly website maintenance
quantityNo (default 1)2
rateYes25000
tax_rateNo (uses your default)5
invoice_noNo (numbered for you)INV-2026-014

Write numbers without currency symbols. If a field contains a comma, such as an address, put it in quotes. When you paste from Excel this is handled for you.

Who uses bulk invoice generators

Agencies and freelancers send the same retainer invoice to many clients every month. Landlords and property managers issue rent invoices for several tenants (for monthly tenant receipts, see the rent receipt generator). Schools and tuition academies create fee invoices for a whole class. Shops and wholesalers bill regular customers at the end of the week or month.

Tips for clean data

Keep client names spelled the same way on every row, because that is how items are grouped. Check that every rate is a number. If some lines carry a different tax rate, fill the tax_rate column for those rows only. Add your bank details in the notes so they print on every invoice.

Frequently asked questions

How do I create bulk invoices from Excel or Google Sheets?

Copy the rows from your sheet, paste them into the box in step 2 and click Generate invoices. You can also save the sheet as a CSV file and upload it. Billfy groups the rows by client and builds one invoice per client.

Which columns do I need?

The minimum is client and rate. Add description, quantity and address for a complete invoice. Two optional columns are tax_rate for a custom tax rate on a line, and invoice_no if you want to use your own invoice numbers.

Can one client have several items on the same invoice?

Yes. Rows with the same client name become one invoice with several lines. You can also give those rows the same invoice_no to group them.

How do I download all the invoices as a PDF?

Click Download all as one PDF, then choose Save as PDF in the print window. Every invoice starts on its own page. To save a single invoice, use the PDF button on its row.

Are GST, VAT and WHT calculated for each invoice?

Yes. Pick a country preset or enter your own tax rate and WHT rate, and choose what the WHT applies to. The invoice shows the tax line, the total, the WHT and the net payable amount.

Is my client data uploaded anywhere?

No. Everything runs in your browser and nothing is sent to a server. Your data disappears when you close or refresh the page.

How many invoices can I make at once?

Up to 500 in one batch. For larger lists, split your file into several batches.
